Managing Your Grant


We’re thrilled to be able to support your work in Maine and look forward to following your progress. The following sections offer guidance for managing your grant and using Giving Data, our grant administration system.

1.

Access Your Grant Request in the Grantee Portal

Use a Chrome browser to access the Giving Data Portal.

Add mail@givingdata.com and noreply@givingdata.com to your email account’s safe sender list to ensure you receive updates and reminders.

Reach out to Sally Struever, our Grants and Office Administrator, with questions or for help with technical issues. Please include a screenshot of the problem, if available.

Manage Your Portal User Account

The Giving Data Portal works best when individuals have their user account. You can use the same login and user account to access grant requests for multiple organizations, and you may use the same user account for working with other foundations that use Giving Data (including the Sewell Foundation and the Davis Family Foundations).

Contact Sally Struever, our Grants and Office Administrator, to:

• Change the email address used to log into a portal account

• Reset your password

• Create a new account

• Notify us when someone has left your organization so we can deactivate their user account

Review and Maintain a Copy of Your Grant Notification Letter

When your grant request is approved, the authorized signatory for your organization will receive the grant notification letter via Docusign. The grant notification letter specifies the purpose and terms of the grant, including the use of grant funds, the grant term, the payment schedule, and any reporting requirements. Please review it carefully before signing and contact us as soon as possible to negotiate any changes.

Before the letter has been completed and signed, please keep the award confidential. Afterward, you may share news of the award with your community. Please keep a copy of the completed letter for your records.

4.

Receive Grant Award Payments

Timing of Payments:
We’ll make grant award payments as outlined in your grant notification letter. You may only use grant funds for the purposes, over the timeframe, and in the manner set forth in the letter.

For multi-payment awards, we often request an interim narrative and financial report. We’ll review those materials before processing subsequent payments.


Payment Method:

Our preferred method of payment is an e-payment via BILL.com. If you do not have a BILL.com account, we will invite you to set up an account (follow these instructions to set up a free subscription-free Basic account). If you would prefer not to set up a BILL.com account, please let us know, and we can direct BILL.com to send you a paper check (it will look like this). If you already have an account with BILL.com, we will ask you to send us your Payment Network Id (PNI).

A note about BILL.com's Virtual Card and Expedited Payment features:
We prefer not to process payments using virtual cards or expedited payments to avoid any merchant fees on your behalf (Virtual Card FAQ). If you are asked whether you accept credit cards when setting up your BILL.com account, please reply no or be sure to set a dollar limit above which you do not accept credit cards. Please choose "Standard–ACH Delivery" for the payment speed.

5.

Report on Your Grant

You will find a reporting schedule in your grant notification letter, which may also include special instructions or reporting requirements particular to your grant. You can access the report forms and detailed instructions in the Grantee Portal at least three months in advance of the due date.

The primary contact for the grant will receive automated reminders in advance of the due date for the report. Please let us know of any staffing changes so we can ensure that those reminders go to the correct person. If you haven’t yet completed your work or you need additional time to compile the report, please don’t hesitate to reach out to your program officer.

Please note that your Program Officer will review the report form you have submitted in the portal as soon as possible. We will reach out to you if we have questions about your submission. After our review, we will mark your report as complete.

6.

Request a Grant Extension or Modification, if Needed

We understand that things may change over the life of a grant. Please let us know if there are significant changes to your timeline, project staffing, organizational leadership, or budget. If these changes affect your grant's reporting schedule, term, or purpose as outlined in the grant notification letter, please submit a grant modification request in writing to your program officer. Grant modification requests include no-cost extensions, which extend the grant period or modify the reporting or payment schedules with no additional funding. The Onion Foundation may agree to a no-cost extension through an electronic notification.

Working With the Onion Foundation


How To Use Our Meeting Space

Our office is centrally located in Great Falls Plaza in Auburn and includes a conference room for up to 6-8 people, a small kitchen area, and a reception area. It also has a great view of the Lewiston-Auburn area. To use our office for a meeting or small gathering, please contact Sally Struever, our Grants and Office Administrator, more than two weeks prior to your event.

How To Use the Onion Foundation Logo

Unless stated otherwise in the grant agreement, we expect that you will include the Onion Foundation's name and/or logo in any list of your funders. Please acknowledge our support in any print or electronic publication that refers to or results from a grant as follows: "Supported [in part] by a grant from the Onion Foundation."
